Responsibilities including, but not limited to:
– Answer and redirect telephone calls, answers various inquiries about the firm and takes messages;
– Meet and greet clients;
– Calendar management, schedule meetings and appointments with clients/counsel, and reserves boardrooms;
– Schedule court dates, confirm and ensure all material is prepared;
– Schedule courier services;
– Distribute incoming faxes and saves electronically;
– Organize and maintain client files, as required;
– Log and update all closed WVCD file documents, send files to storage;
– Photocopy, scan, prepare and bind documents;
– Draft and respond to correspondence;
– Review, format, and proofread documents;
– Liaise with process servers to ensure legal documents are filed with court, acquire the status of documents and matters to ensure that documents have been served;
– Prepare monthly accounts and cover letters and send to the clients; and
– Perform daily bank deposits.
Requirements/Skills needed:
– 1 plus year administrative experience working in an office environment;
– Excellent verbal and written communication skills in English;
– Excellent customer service/ people skills;
– Strong attention to detail, ability to work in dynamic environment, ability to prioritize workflow and meet deadlines;
– Proven problem-solving skills;
– Positive, pro-active attitude;
– Excellent computer skills in Microsoft Suite; and
– Legal Administrative Diploma
